Format for presenting project proposals

FRONT PAGE
We suggest that you start with a front page that includes:
  • The project name and location
  • Time-frame (start and end date)
  • The amount of funding requested
  • Name and contact details of the project coordinator

MAIN BODY OF THE PROJECT PROPOSAL
In this part of the project proposal, please include a description of the following:
  • Background
One or two paragraphs about the problems and needs that the project will address.
Mention any history of previous projects that may be relevant.
How has this project come about? Whose idea was it and who has been involved in its shaping?
How does the project complement the wider work of the Church at local level?

  • Objectives
What does the project aim to achieve?  Perhaps write one general objective which expresses the essence of the project and then write a more specific objective for each project area.

  • Geographical location
Where will the project take place?

  • Beneficiaries
How many people will benefit, directly and indirectly? 
Who are the proposed beneficiaries, for example: women, children, elderly people or others?
What criteria will you use to decide which specific people within these groups will be given priority? 
How will local community leaders or volunteers be involved in advising you in the selection of beneficiaries? 

  • Methodology / implementation plan
What activities will you carry out to achieve your project aims? 
How will you involve the beneficiaries and the wider community in the project’s implementation?

  • Technical skills and experience
What technical skills does the project require, (for example, nursing, counselling, business skills or financial and administrative skills)?
Which of these skills are held by your project team?
Which additional skills might you need to obtain from volunteers or paid workers?

  • Chronogram / calendar of activities
When will the project will begin and end?  In what months or trimesters will the different activities take place? Are there any special dates that you want to highlight in the calendar?

  • Project coordination
If you think that the coordinator is likely to be transferred during the project period, please include an outline plan for the transition to a new project coordinator.

  • Sustainability
Please mention any aspects of the project that may empower people and strengthen local sustainability in the long term. Here you may want to consider things like leadership skills, technical training, income generation and the strengthening of local networks. 

  • Safeguarding of creation
Please mention any aspects of the project that respond to the dimension of ecology and the safeguarding of creation. 

  • Budget
Please provide a budget specifically for the funding that you are requesting from SMR.  If this is part of a bigger, overall budget, please provide that information as well and let us know about other donations that you are receiving or hope to receive. 
Please tell us what the local community will contribute.  As well as cash contributions, you can mention the time given by volunteers and donations of food and materials.
Try to keep the budget for external funding simple and easy to understand and make sure that it corresponds clearly to the narrative part of your project proposal.
Be sure to indicate the exchange rate you are using and the corresponding date. 
In the budget for external funding, please use two columns for your costs, one for local currency and the other to show the equivalent value in US dollars or euros.

  • Monitoring and Evaluation
How will you monitor and evaluate the progress and impact of your project?
What particular aspects of the project will you monitor and evaluate?
Who will be responsible for doing this work?
How will you involve and gather feedback from the beneficiaries, volunteers and the wider community?
