​Format for writing reports

FRONT PAGE
We suggest that you start with a front page that includes:
  • Project name and location
  • A heading that indicates whether the document is an interim or final report
  • Time-period covered by the report
  • Name and contact details of the project coordinator

 NARRATIVE REPORT
In the narrative report, please include the following:
  • Introduction
One or two paragraphs describing briefly the context of the project, the problems it is addressing, its aims, location and beneficiaries.
  • Activities carried out
A description of the activities carried out during the reporting period.
  • Results
A reflection on what the project has achieved and why these achievements are important.
  • Problems encountered and how you have addressed them
The problems and other unforeseen events that you have encountered and how you have addressed them.
  •  Lessons learned
If you had the opportunity to repeat the project’s activities, what you would do differently?
Based on this experience, what learning you take forward to strengthen the work of the project in the future?
 
FINANCIAL REPORT
Some guidance:
  • Please use the same budget headings as presented in the project proposal.
  • Please include a comparison of forecast and actual expenditure.
  • Be sure to include an exchange rate that is based on when the money was transferred into local currency.
  • Provide explanatory notes for any significant under-expenditure or over-expenditure.
  • Ensure that the financial and narrative reports relate to each other – in other words, that what is mentioned in the narrative report is reflected in the financial report and vice versa.
